Progent is looking for an executive assistant who can help the company's president with a variety of corporate responsibilities as well as some personal tasks such as record-keeping and travel management. The executive assistant's basic role will be to help Progent's busy president keep pace with the demands of a fast-growing computer support company by taking responsibility for a wide range of non-technical duties. This position requires initiative, motivation, and excellent organizational and communication skills.

Essential Functions

To work with the president and owner of Progent to take care of a broad range of non-engineering tasks including call screening, record keeping, administration, special projects, shipping time-sensitive documents, organizing periodic sales and engineering meetings, scanning and filing documents, obtaining signatures, overseeing printing, making travel arrangements, and managing the president's schedule.

Partners, vendors, printers, shippers, travel companies, hospitality service representatives


Responsibilities

Initial responsibilities will include, but not be limited to:

  • Call screening and responding directly to calls as appropriate
  • Making travel arrangements with airlines and car rental agencies
  • Managing day-to-day administrative tasks and special projects
  • Organizing and filing documents, printing, and obtaining signatures
  • Scanning administrative and financial documents as well as contracts and other legal documents
  • Prepare and organize expense report documentation
  • Select venues and organize periodic management, sales, and company-wide meetings
  • Screen vendors
  • Organize and schedule one-on-one meetings between president and team members
  • Manage president's schedule
  • Manage mail

Qualifications/
Education

Characteristics:

  • Must posses the self discipline for a work-at-home structure, including being self motivated

  • Strong written and oral communications skills, as well as excellent interpersonal skills
  • Proactive communicator, must be extremely detail oriented, must be able to meet commitments and work deadlines
  • Must be very comfortable communicating via E-mail, Instant Messaging and telephone

Experience:

  • Minimum of 7 years of computer/office work experience
  • Minimum of 7 years of experience with Microsoft Office suite (Outlook, Word, with emphasis on Excel expertise)
  • Minimum of 3 years of working experience as executive administrator
  • Must have the capacity for a high-speed Internet connection from a home office (Cable modem or DSL)
  • Must have a suitable work environment for a home office that provides a productive and undistracted work area
  • Must be able to answer a company-provided dedicated business phone without unprofessional background sounds

Education:
High School diploma or equivalent

Some college experience preferred
